Government Advances Paperless Agenda with Smart Workplace Rollout in Amansie West

The Government of Ghana, through the Office of the Head of Local Government Service (OHLGS), has taken a significant step in advancing its digital transformation agenda by training staff of the Amansie West District Assembly on the Smart Workplace System. The initiative forms part of efforts to promote paperless administration and enhance efficiency within the Metropolitan, Municipal, and District Assemblies (MMDAs).

The training, held at the Amansie West District Assembly, introduced staff to a range of digital tools and platforms designed to replace manual administrative processes and reduce the heavy reliance on printed documents.

Opening the session,District  Coordinating Director, emphasized that the training would equip staff with the necessary digital skills to perform their duties more effectively. He explained that the Smart Workplace System seeks to make local government operations faster, more transparent, and more responsive to public service demands.

“This initiative marks a major milestone in our journey toward a paperless public sector. It will not only improve workflow but also ensure accountability and ease of access to information,” Mr. Haligah noted.

The training covered various components of the Smart Workplace System, including the Electronic Memo Application, Correspondence Management System, Electronic Leave Management, and the Announcement Application. Staff also received hands-on demonstrations on how to schedule online meetings, manage virtual teams, and share documents securely within the system.

 

A representative from the Local Government Service, Mr. Frank Kwame Kontor, who is part of the consulting team facilitating the training, explained that the Smart Workplace System is a virtual platform already operational at the OHLGS headquarters. The platform, he said, has drastically reduced the need for printing, photocopying, and physical filing of documents — saving time, cutting costs, and improving efficiency across departments.

“The Smart Workplace is a game-changer for the public sector. It provides a reliable, secure, and fast way to communicate, manage tasks, and store information. We encourage staff to adopt it fully and provide feedback for continuous improvement,” Mr. Kontor said.

On his part, the District Chief Executive (DCE) for Amansie West, Hon. Prince Manu Morris, commended the Government and OHLGS for extending the digitalization drive to the district level. He noted that adopting the Smart Workplace System would significantly reduce administrative costs and prevent the recurring problem of missing files in government offices.

“This initiative will help save resources that would otherwise go into importing paper and managing physical records. It will also save time, improve coordination, and enhance transparency in how we conduct public business,” Hon. Morris stated.

The DCE further appealed to the Government to extend the Smart Workplace training to all MMDAs to ensure that every local assembly possesses the requisite knowledge and skills to operate effectively in a paperless environment.

Some participating staff members expressed their appreciation for the training, describing it as timely and relevant to modern administrative practices. They pledged to put the knowledge acquired into practice to improve service delivery and strengthen accountability at the Assembly.

The Smart Workplace Project is part of the Government of Ghana’s broader digital transformation agenda aimed at modernizing public administration, promoting environmental sustainability through paper reduction, and improving overall productivity in the public sector.
